EXHIBITION TERMS & CONDITIONS
Bristol Plein Air Painters – Landscapes and Gardens (June 2026)

1. Eligibility and Submission
- Artists may submit up to three artworks for consideration.
- Work must have been created within the last two years.
- Submission does not guarantee selection, except where stated below.
- Artists who have previously painted with the Bristol Plein Air Painters are guaranteed inclusion of one artwork, subject to meeting the criteria.
2. Artwork Requirements
- All works must be painted (oil, acrylic, watercolour or similar).
- There will be an opportunity to also show sketches or sketchbooks, if you are included in the exhibition.
- Subject matter should relate to landscapes, gardens, or nature, including work developed from plein air studies or studio practice.
- Abstract works may be considered where they meaningfully engage with landscape.
- Maximum size: 100cm (in any dimension).
- Works may be:
- On paper, board, or canvas
- Framed or unframed
3. Presentation and Hanging
- Due to the informal and inclusive nature of the exhibition, works may be displayed using:
- Traditional hanging systems
- Clips
- Shelving
- Artists must specify their preferred display method at submission.
- The organisers reserve the right to adjust display methods where necessary.
4. Selection and Fees
- Selected works will incur a £15 fee per artwork, payable prior to installation.
- This contribution supports:
- Installation costs
- Opening event refreshments
- Printed materials and promotion
- Any remaining funds will be reinvested into future group activities.
5. Sales
- All artworks will now be sold via one card machine at the exhibition.
- All artworks will be sold via Bristol Plein Air Painters (managed by Helena Traill), all sales will incur a 5% admin fee – this covers card machine fees and time spent to prepare for selling.
- This has been decided for the benefit of the group, to ensure sales are easy for both artists and buyers.
- If you do not want to sell at the exhibition, via one centralised system, you can put ‘Price on Application’ or ‘Not for Sale’ on the artwork label.
- When dropping off your artwork (times below), you can also bring prints, postcards, cards, sketches for other sale. These will incur the 5% admin fee, and will be at our discretion if they are included.
6. Insurance and Liability
- This exhibition is independently organised and not a commercial gallery.
- No insurance is provided for artworks.
- All works are exhibited at the artist’s own risk.
- The exhibition will be invigilated at all times while open to the public, and all reasonable care will be taken. However, the organisers accept no liability for loss or damage.
- Artists are encouraged to arrange their own insurance where appropriate. If you are not currently insured, we suggest joining the Visual Artists Association, whose annual membership includes artist insurance:

7. Dates, Delivery and Collection
- Submission Deadline: Tuesday 26 May 2026
- Selection Announced: Friday 29 May 2026
- Included Artists Questionnaire Deadline (this will be a questionnaire requesting final information about your taking part and artwork(s)): Monday 1st June
- Drop-off: 5–6 June 2026 12 noon to 6pm

- Installation: 7 June 2026
- Exhibition dates: 8–14 June (10am–5pm daily)
- Collection:
- Sunday 14 June from 5pm, or
- Monday 15 June (full takedown)
- Alternative arrangements may be made by prior agreement.
8. Artist Participation and Promotion
- Artists included in the exhibition will be asked, where possible, to invigilate for a 2–4 hour slot during the exhibition week. Sign up here.

- The Launch Party is on Tuesday 8th June at 6pm. Please try and come! There will be a wine bar by Natty and (chill) DJs! Please book free tickets here on Headfirst and make sure to share this around!
- Sunday 14th June 2pm to 4pm will be a ‘Meet the Artists’ event, please do try and come if you can. Free tickets here on Headfirst.
- I will be hosting a short talk and demo, all about Landscape and Garden Paintings Inspired by the Impressionists. Free tickets here on Headfirst.
- By submitting, artists grant permission for their work to be used in:
- Promotional materials
- Social media
- Press
- All images will be credited.
9. Organisation and Curation
- The exhibition is organised and curated by the Bristol Plein Air Painters, led by Helena Traill.
- Curatorial and organisational decisions will be made collaboratively where possible, by the Exhibition Working Group; however, Helena Traill retains final decision-making.
